The circulation data
Automaticals Consulting processes the following types of personal data when you share it directly with us or when you use our services:
- Identification, contact and payment data: Automaticals Consulting processes the identification and contact details that you provide when you register for an account or a promotional campaign. The data that we process in this context are, for example, your name, address, email address, telephone number and, if applicable, billing and payment data. During the registration procedure, it is indicated whether the requested information is mandatory or not. If the requested information is mandatory, you will not be able to complete the registration procedure if you do not provide the requested information because otherwise we will not be able to provide the services to you (in optimal conditions).
- Usage data: When you are logged in, we collect data about your use of our services, for example which products you have purchased from us. When it comes to data that is stored and retrieved on your device, we always take your cookie settings into account.
- Communication preferences: We also collect information about your preferences regarding our communication to you (via email, push notifications, by post or by phone). You communicate these preferences to us directly during registration procedures or through your account settings, or indirectly through the Do Not Call List and the Robinson List (see section 8 below).
- Other data that you provide yourself: We also process the information that we obtain when you ask a question by e-mail or contact us (e.g. by telephone, our chat box or via social media).
The processing of your data
We process personal data for various purposes, each time only processing the data that is necessary to achieve the intended purpose. For example, we use personal data when necessary:
- in the context of the preparation, performance or termination of our contract with you (e.g. providing information to you, providing our products and services, invoicing, etc.);
- to comply with the legal or regulatory provisions to which we are subject (e.g. tax compliance, provision of information to public authorities in the context of judicial investigations, etc.); and/or
- for the representation of our legitimate interests, in which case we always strive to balance that interest with respecting your privacy (e.g. in the case of marketing and advertising for our services).
- If the processing of your personal data is not necessary for one of the three reasons mentioned above, we will always ask for your permission to process your personal data.
Purposes of data processing
Specifically, we collect personal data for the following specific purposes:
- To process your request for our services: If you are not yet a customer and you visit our website to collect and/or request information about our products and services, we will need your contact details in any case. All information we receive about you in this (pre-contractual) phase will only be used to provide you with the requested information. When you finally decide to become a customer or use our services, you will be required to provide some personal data in order to create an account in order to manage our contractual relationship.
- To perform our contract with you and provide our services: We use data to provide our services and for all related administration. Provided contact information may be used to notify you of, for example, changes to the Services or to provide you with more information about the Services. This data is also used for billing and payment purposes.
- To improve our services and identify general trends: We may use general usage information to identify areas for improvement in our services. This is done, among other things, on the basis of your feedback about our services, data that we obtain during our contacts with you (e.g. in writing or by telephone), questions from you or the recording of the conversations of our customer service.
- To offer you personalized content: When you choose this in your cookie settings, we can also make the content of our services as relevant as possible to you based on your use of our services and your personal data. The video content that is recommended to you on one of our websites is always personalized, regardless of your cookie settings.
- To prevent and/or detect abuse or fraud: Automaticals Consulting may also use your data to prevent, detect and investigate illegal or suspected illegal activities, such as fraud (e.g. with means of payment), as well as to enforce our Terms of Use.
- To comply with laws and regulations: We may also use your personal data to comply with laws and regulations that Automaticals Consulting is required to comply with and to have audits and controls carried out. Automaticals Consulting may be required by law to disclose personal information in the context of a dispute or litigation or if required by certain government agencies (e.g., police, judiciary, emergency services). In order to comply with these laws and regulations, we may disclose this information without your knowledge, without your consent and even without notifying you. Furthermore, we are legally obliged to keep certain data as part of our general tax and accounting obligations.
- To track studies, tests and statistics: We may use your anonymous, aggregated data to, for example, report internally and externally on the use of our services. The data used for this purpose cannot be traced back to a specific individual. We use the information we obtain from these analyses to evaluate our current Services and our processes and to adapt them in the light of new developments.
Duration of record keeping
We will not keep your data for longer than necessary for the purpose for which it was collected and take into account that some data must be kept for a certain period of time in order to comply with certain legislation.
In concrete terms, this means that we keep all types of data listed above as long as you are a customer or have an account with us. If you no longer have an active customer relationship with us or no longer use your account, we will keep your personal data in our systems for another 2 years, in case you become active again or become a customer again. During that period, we will also use your data for the newsletter, for example to send you an offer to renew your subscription, unless you have already indicated that you do not want to receive the newsletter.
At the end of that 2-year period, your account will be closed and all data associated with it will be deleted. Only if you had a paying customer relationship with us, we archive your identification, contact and payment data. In that case, this data will be kept for 10 years after your last payment for the purpose of establishing, exercising or substantiating any legal claims.
Sharing data
Automaticals Consulting bvba undertakes not to sell or pass on your personal data to other companies under any circumstances. Automaticals Consulting will also not allow third parties to use your data for their own purposes, unless you give permission for this. In concrete terms, your data will only be shared with the following parties:
• Suppliers, subcontractors and other service providers: We use other companies, intermediaries, subcontractors or other service providers to perform certain services on our behalf or to assist us in the provision of services to you. For example, we use vendors to process credit card transactions and mitigate fraud in credit card transactions or other payment methods, collect debt, analyze data, and process and manage user feedback. These vendors may gain access to your personal information or other information in the course of providing such services.
In any case, we only authorize these companies to process your personal data to the extent necessary for the provision of their services or compliance with certain laws and we require them to take the necessary measures to respect the confidentiality of your personal data subject to appropriate security.
• Commercial partners: When you participate in a competition or promotion, your data may be shared with the commercial partner with whom the promotion in question was set up. Which partner it concerns is always clearly stated in a disclaimer on the participation form. Under no circumstances do we sell your personal data to third parties.
• Public authorities: We may also share or disclose personal information, including the content of your communications: (i) to comply with the law or in connection with legal process or lawful requests; (ii) to detect, prevent, or otherwise address fraud and technical security issues; or (iii) to protect the rights and property of Automaticals Consulting, including the enforcement of our terms and conditions of use.
• Business Transfers: Automaticals Consulting reserves the right to transfer data, including personal data, in connection with any reorganization, restructuring, merger, sale or other transfer of assets, provided that the receiving party agrees to process your personal data in accordance with our Privacy Notice.
Automated individual decision-making
European data protection law (GDPR) imposes certain conditions on organisations when they make decisions about individuals solely on the basis of automated processing, including profiling, and when these decisions produce legal effects or other significant effects. Specifically, the law refers to examples such as an automatic refusal of a credit application submitted online or processing of applications via the internet without human intervention. Automaticals Consulting does not do this type of decision-making.
Your rights
The right to data protection is a fundamental right in the European Union. Even when you share data with companies, you must always be able to maintain control over your personal data. Below we list which rights you therefore have, and how you can exercise them at DPG Media:
- Right of access
You have the right to receive confirmation from Automaticals Consulting about whether or not we process your personal data, to obtain access to the personal data and how and why they are processed, as well as a copy of the data concerned. You can exercise this right by sending an e-mail to info@automaticals.com clearly stating your request.
- Right to rectification
You have the right to request a correction of your data if you notice that we are processing incorrect data about you. If it concerns your identification, contact or payment details, you can change these details yourself in your account or profile. All other requests for rectification can be sent to us by sending an e-mail to info@automaticals.com with a clear statement of your request.
- Right to erasure of your data
You have the right to request the erasure of your personal data. This is not an absolute right and therefore does not always apply. You can exercise this right by sending an e-mail to info@automaticals.com clearly stating your request.
- Right to restriction
You have the right to have the processing of your personal data restricted in certain specific cases. You can exercise this right by sending an e-mail to info@automaticals.com clearly stating your request.
- Right to portability
You have the right to request the data that you have provided to us in the context of processing that is based on your (explicit) consent or that is strictly necessary for the execution of an agreement with you. These will then be delivered to you in a machine-readable form. You can exercise this right by sending an e-mail to info@automaticals.com clearly stating your request.
- Right to object
You have the right to object, on grounds relating to your particular situation, to the processing of your personal data based on our legitimate interest, including profiling. You can exercise this right by sending an e-mail to info@automaticals.com clearly stating your request.
- Right to object to direct marketing
You also have the right to object to direct marketing. This right is absolute – it must always be complied with. In certain cases, you can already exercise this right at the time you share your data with us. In addition, you can always unsubscribe from electronic direct marketing communications via your account settings and via the unsubscribe link in received messages. You can exercise this right by sending an e-mail to info@automaticals.com clearly stating your request.
If you no longer want to receive direct marketing by phone from any company, you can add your phone number to the Do Not Call Me List (www.dncm.be). To stop receiving direct marketing from any company by post, add your details to the Robinson List (www.robinsonlist.be). Automaticals Consulting always takes both lists into account in its direct marketing campaigns.
- Right to withdraw consent
If you have given permission for certain processing of your data, you can withdraw it at any time. Withdrawing consent is always as easy as giving permission: if you have opted in to a newsletter, you can always unsubscribe via your account settings or via an unsubscribe link in every email received. If you notice that this is not the case, please report it to us immediately via info@automaticals.com (clearly stating your request).
- Right to lodge a complaint

Adjusting privacy policy
Automaticals Consulting will occasionally modify this Privacy Policy, for example in the context of changes to our services. When we post changes to the Privacy Policy, we will change the "last updated" date at the top of the document and also provide you with information about the changes. If there are any significant changes to the Privacy Policy or in the way we use your personal data, we will notify you by posting a notice of the changes before they take effect.
